McKenna Live Events is committed to providing an inclusive and welcoming service. We work with clients, venues and event organisers to identify accessibility requirements and make reasonable adjustments wherever practical.

About our service

McKenna Live Events provides event production, audio-visual hire, event management, entertainment and presentation support at venues throughout Scotland.

We do not operate customer-facing business premises, and customers are not required to visit our business address. Our services are delivered at hotels, conference centres, workplaces, community venues, outdoor locations and other third-party venues.

Discussing accessibility requirements

We encourage clients and event organisers to discuss accessibility requirements as early as possible in the planning process.

These may include requirements relating to:

  • Mobility or wheelchair access
  • Hearing or visual impairments
  • Neurodiversity
  • Lighting or sound sensitivity
  • Assistance dogs
  • Accessible presentation materials
  • Stage or performance-area access
  • Seating and audience layout
  • Communication support

Customers do not need to provide a medical diagnosis. We only need information about the practical assistance or adjustment required.

Venue accessibility

Because our services are delivered at third-party venues, physical accessibility varies between locations.

Step-free access, accessible toilets, parking, lifts, evacuation procedures and accessible seating are normally controlled by the venue or event organiser.

Where we are involved in event planning, we will work with the client and venue to identify relevant access arrangements. Anyone with a critical physical-access requirement should also confirm the arrangements directly with the venue before attending.

Equipment and event layouts

When planning and installing event equipment, we aim to:

  • Keep entrances, exits and agreed access routes clear
  • Position cables and equipment to reduce unnecessary obstructions
  • Consider wheelchair sightlines when positioning screens and stages
  • Position microphones, lecterns and presentation equipment appropriately
  • Discuss sound levels and lighting effects with the organiser
  • Provide information about potentially intense lighting or sound effects
  • Follow the venue’s accessibility and emergency procedures

The final layout will depend on the venue, audience numbers, fire-safety requirements and equipment selected by the client.

Sound, screens and presentations

Our services can include PA systems, microphones, projection, television screens, staging, lecterns and event lighting.

Specialist services such as hearing loops, live captioning, British Sign Language interpretation, audio description or accessible staging are not included automatically. These can be discussed during event planning and may be sourced where available, subject to sufficient notice and additional cost.

Clients providing presentation slides, videos or other content remain responsible for the accessibility of that content. We can advise on technical formats and practical presentation options.

Neurodiversity and sensory requirements

Where we are told about sensory requirements in advance, we can discuss practical measures such as:

  • Reducing or avoiding flashing lighting effects
  • Providing timings or running-order information in advance
  • Giving clear written instructions
  • Limiting unnecessary background music during presentations
  • Coordinating with the venue about quiet areas or alternative seating

Some adjustments will depend on the venue and the nature of the event.

Assistance dogs and personal assistants

We will work with the client and venue to support customers attending with an assistance dog or personal assistant.

Admission arrangements, accessible seating and companion-ticket policies are controlled by the event organiser or venue.

Emergency arrangements

Emergency and evacuation procedures are managed by the venue or event organiser. Our staff follow venue instructions and keep agreed escape routes clear when installing equipment.

Anyone who may require assistance during an evacuation should notify the venue or event organiser in advance.

Requesting an adjustment

Please contact us as early as possible before the event. We will consider each request individually and explain clearly what can be provided.

Some adjustments may require specialist suppliers, additional staff, venue approval or additional expenditure. Any additional costs will be identified before the booking is confirmed wherever possible.
