McKenna Live Events recognises that event production, equipment hire and business travel can affect the environment. We are committed to reducing that impact through practical and proportionate measures across our operations.

Scope of this policy

This policy applies to our event production, audio-visual hire, event management, entertainment and related business activities.

It applies to employees, freelancers and subcontractors working under our direction where relevant to the services being delivered.

Our commitments

We aim to:

  • Reduce unnecessary energy use, travel and waste
  • Reuse, maintain and repair equipment wherever practical
  • Avoid unnecessary single-use materials
  • Recycle materials through appropriate facilities
  • Plan transport, deliveries and collections efficiently
  • Consider environmental performance when choosing equipment and suppliers
  • Help clients consider more sustainable event options
  • Review our environmental performance regularly

Equipment and energy use

We invest in professional equipment intended for repeated use over many years.

Where practical, we will:

  • Maintain and repair equipment rather than replace it unnecessarily
  • Use energy-efficient LED lighting and modern audio-visual equipment
  • Switch off equipment when it is not required
  • Avoid leaving equipment operating unnecessarily during setup, rehearsals and breaks
  • Select equipment appropriate to the size and requirements of the event
  • Dispose of electrical equipment, batteries and electronic waste through appropriate recycling routes

Safety, reliability and the successful delivery of an event remain essential when making equipment decisions.

Transport and travel

Transport is an unavoidable part of our work because staff and equipment must travel to event venues.

We aim to reduce unnecessary mileage by:

  • Planning deliveries, collections and staff journeys efficiently
  • Combining journeys where practical
  • Confirming venue access and delivery arrangements in advance
  • Using appropriately sized vehicles for each job
  • Sourcing additional equipment and services locally where commercially and operationally appropriate
  • Using telephone or video meetings when an in-person meeting is unnecessary

Waste and materials

We aim to prevent waste before relying on recycling.

Our approach includes:

  • Reusing flight cases, protective materials and packaging where safe and practical
  • Using reusable professional equipment instead of disposable alternatives
  • Reducing unnecessary printed paperwork
  • Sharing proposals, schedules, invoices and event documents digitally
  • Separating recyclable materials where suitable facilities are available
  • Avoiding unnecessary promotional materials and single-use decorations within our control

Waste and recycling facilities at event venues are normally managed by the venue or event organiser. We will cooperate with their procedures.

Purchasing and suppliers

When purchasing equipment, products or services, we consider:

  • Expected working life
  • Reliability and repairability
  • Energy consumption
  • Packaging
  • Availability of replacement parts
  • Supplier location
  • Opportunities to hire, reuse or refurbish instead of purchasing new equipment

Environmental considerations are balanced against safety, reliability, availability, service quality and commercial viability.

We encourage suppliers and subcontractors to operate responsibly, but we do not claim control over their individual environmental policies.

Event planning

Where we are involved in event planning, we can discuss practical ways to reduce environmental impact, including:

  • Selecting equipment appropriate to the audience and venue
  • Reducing duplicated or unnecessary equipment
  • Using digital event information
  • Reducing printed signage, programmes and paperwork
  • Coordinating delivery schedules
  • Using local suppliers where appropriate
  • Reusing staging, structures and event materials
  • Considering remote or hybrid participation where this genuinely reduces travel

Final decisions may rest with the client, venue or event organiser.

Venues, catering and water use

McKenna Live Events does not normally control venue utilities, catering services or water consumption.

Where these areas form part of a wider event-management service, we may encourage clients to consider:

  • Venues with credible sustainability practices
  • Reusable catering equipment
  • Measures to reduce food waste
  • Locally sourced catering
  • Clearly identified recycling facilities
  • Accurate delegate numbers to reduce unnecessary consumption

Waste disposal and compliance

We will comply with environmental and waste-disposal requirements relevant to our operations.

Electrical equipment, batteries and other specialist waste will be handled through appropriate disposal or recycling services.

Environmental claims

We aim to communicate our environmental actions accurately and avoid misleading environmental claims.

We will not describe an event, product or service as carbon neutral, zero waste or fully sustainable unless the claim can be properly supported by evidence.

Responsibility

The directors of McKenna Media Group Ltd are responsible for implementing and reviewing this policy.

Employees, freelancers and subcontractors working under our direction are expected to follow relevant procedures when delivering our services.

Monitoring and review

We will review this policy at least annually and following significant changes to our services, equipment or operations.

We will continue to identify practical improvements that reduce environmental impact without compromising safety, reliability or service quality.
